What is MSP: what the letters stand for, and why they name a billing model

MSP stands for managed service provider: a firm that runs agreed parts of a company's IT for a recurring monthly fee. What makes it an MSP rather than an IT company is the fee, not the engineering. The fee is fixed and the work is not, so the whole negotiation is about where the line around that fee is drawn, and two firms with the same engineers can charge very differently for the same office.

What does MSP mean in IT? A billing model, not a capability

An IT company bills for hours after something breaks. An MSP charges the same amount whether the month was quiet or terrible, which means its margin improves when your estate is stable and shrinks when it is not. That is the entire reason the model exists, and it is also why the exclusion schedule is written so carefully: everything outside the fee is where hourly billing survives. Read that schedule before the rate.

Two other industries use the same three letters, and tech outsourcing companies use all of them

In contingent workforce staffing, MSP means a managed service programme: a vendor managing a company's contract labour supply. In retail it means a manufacturer's suggested price. Both rank for the bare acronym, so a search for MSP software or MSP pricing returns tooling sold to providers and margin advice sold to shopkeepers. If a result never mentions patching, backups or a help desk, it belongs to a different trade.

What management service providers actually do between your phone calls

An agent on every machine reports its patch state, disk health and antivirus status to a console the provider watches. Patches go out in stages, backups run and are restore-tested on a schedule, alerts are triaged, and new and departing staff are created and removed. The help desk is the visible part and the smallest part. A provider doing the rest well produces fewer tickets, so ticket volume is a poor measure of value received.

What IT as a service does not include unless the schedule names it

Your line-of-business application and its vendor, telephony, printers beyond the driver, cabling, staff training, hardware, licences, projects, and anything out of hours. Onsite visits are frequently capped or chargeable past a mileage band. The two documents that settle this are the schedule of monitored systems and the schedule of exclusions, and asking for a redacted restore-test report and patch report from an existing client tells you whether the first one is real.

What an MSP costs, from what providers actually publish

Of the 29 providers read for this record on 10 September 2026, seven publish a per-seat figure: median $99.50 a user a month, lowest $10, highest published band top $300. Six of the seven quote per user and one per workstation. Ntiva publishes "Starting at $99 per user" and Electric publishes "$10/user/mo", which are not the same product at a different price, and no provider publishes the scope beside the rate. Treat the median as a sanity check, never a quote.

The one figure quoted for a whole business

XL.net publishes "between $500 and $2,000 per month for basic managed IT services" for small businesses of 1-20 users, which is the only amount in this record expressed per business rather than per seat. That shape is worth asking every bidder for, because a per-user rate hides the seat minimum: below it you pay for seats you do not employ, and the minimum is the number almost nobody puts on a page.

Other questions people ask

What does MSP stand for in technology?

Managed service provider: a firm paid a recurring monthly fee, usually per user, to run agreed parts of your IT rather than billing by the hour when something fails.

What is an MSP, against an IT support company?

Often only in how it bills. The same engineers can be sold hourly or on a monthly contract, and the contract is what changes whose interest it is that nothing breaks.

Why do searches for MSP return staffing and retail results?

Because MSP also means a managed service programme in contingent workforce staffing and a manufacturer's suggested price in retail. Add "IT" or "managed IT" to the query.

How much does an MSP charge per user?

Seven of the 29 providers in this record publish anything: the median is $99.50 a user a month, the lowest $10 and the highest published band tops out at $300.

What should I ask an MSP before the rate?

The seat minimum, the exclusion schedule, the response commitment in hours with what happens when it is missed, and who holds global administrator on your identity tenancy.

What is a MSP, in one sentence?

A firm that runs agreed parts of your IT for a recurring monthly fee. The fee is what makes it one rather than an IT company that bills for visits, and the schedule attached to the fee is the only thing that distinguishes two of them.
